The Legal Operations Manager will be a critical team member working closely with leadership to ensure the firm runs smoothly behind the scenes so our attorneys can focus on legal excellence.

What You’ll Do

  • Own day-to-day firm operations: systems, technology, calendaring, case flow, and internal processes
  • Improve and standardize legal processes using tools like NetDocuments, Smokeball, ClickUp, GHL, and more
  • Develop SOPs and workflows that align with firm values and ensure quality client service
  • Track key operational metrics and lead initiatives to increase efficiency and performance
  • Oversee legal operations team members and ensure accountability
  • Collaborate with attorneys and leadership on hiring, onboarding, performance management, and goal setting
  • Coordinate with finance, HR, and marketing to ensure all departments function cohesively
  • Identify gaps and proactively implement solutions—before they become problems

What We’re Looking For

  • Law firm experience preferred; legal ops, firm administrator, or senior paralegal/ops experience a plus
  • Strong systems thinker with experience creating and refining workflows
  • Project management experience and comfort with legal tech (NetDocuments, ClickUp, Smokeball, etc.)
  • Data-literate: able to analyze and act on key metrics
  • Self-motivated, decisive, and comfortable with responsibility
  • Prior team leadership and experience managing staff is highly valued
  • EOS familiarity is a plus

The Finance & Administration Manager is a key leadership seat at the firm. You’ll work directly with the Integrator and support the Visionary by owning the financial and administrative engines of the business. You must be systems-minded, proactive, and confident managing both people and processes. We are fast-paced and the right person has the capacity to stay ahead of the game. What You’ll Do

Finance

  • Manage collection of AR and payment of AP
  • Prepare invoices for clients and collect payments
  • Prepare and oversee budgets, forecasts, and financial models
  • Control expenses and drive budget accountability across departments
  • Produce monthly, quarterly, and annual reports for leadership
  • Ensure financial systems and reporting support the firm’s strategic goals

HR & Administration

  • Oversee HR functions including onboarding, offboarding, benefits, leave tracking, and policy implementation
  • Maintain accurate personnel records in compliance with employment laws
  • Support managers with performance tracking and HR documentation
  • Coordinate with payroll providers and manage payroll processes
  • Champion culture and staff engagement in partnership with firm leadership

Office & Vendor Management

  • Serve as the primary contact for vendors, office services, and contractors
  • Oversee physical office management (equipment, supplies, utilities, etc.)
  • Manage and negotiate vendor contracts, renewals, and cost control
  • Hold vendors accountable to key deliverables

IT Oversight

  • Serve as the firm’s point of contact for the managed service provider
  • Coordinate with IT providers to ensure system security and uptime
  • Onboard/offboard users for firm systems
  • Help assess and implement technology to improve workflows and automation

Records, Reporting & Compliance

  • Ensure compliance with state bar and labor regulations
  • Maintain organized records for finance, HR, and operations
  • Support internal audits and reporting requirements

Special Projects

  • Lead strategic initiatives that improve firm efficiency and scalability
  • Assist with firm expansion, new system implementation, and strategic planning
  • Serve as a thought partner to the Integrator and Visionary

What We’re Looking For

  • 5+ years of experience in finance, HR, operations, or office management
  • Deep understanding of financial reporting, budgeting, and forecasting
  • Tech-savvy with the ability to implement and manage digital systems
  • Strong people management and communication skills
  • Proven ability to take ownership, hit deadlines, and make decisions independently
  • Commitment to data-driven performance and EOS principles (GWC, RPRS)

About The Role 

We are seeking an experienced Criminal Defense Paralegal to join our legal team and play a critical role in supporting attorneys on complex and high-stakes criminal matters. This position is ideal for a seasoned professional who thrives in a fast-paced firm and is passionate about upholding the rights of the accused. You will be instrumental in case strategy, trial preparation, and ensuring legal processes are met with diligence, speed, and discretion.

What You’ll Do

Litigation Support

  • Assist attorneys at court hearings, trials, depositions, and client meetings.
  • Prepare exhibits and witness materials for court.
  • Support trial logistics, including in-court technology setup and file management.

Discovery & Pre-Trial

  • Draft and respond to discovery requests, subpoenas, and third-party records requests.
  • Review, analyze, and summarize discovery responses and case documents.
  • Coordinate and communicate with prosecutors, courts, and third-party agencies for record collection (including FOIA).

Legal Drafting

  • Draft pleadings, motions, affidavits, and factual sections of legal memoranda.
  • Prepare detailed client and witness correspondence.
  • Assist in assembling trial notebooks and motion exhibits.

Case Management

  • Maintain, update, and organize case files using legal case management software.
  • Track critical deadlines, court dates, and filings, ensuring timely compliance.
  • Create and maintain case logs, discovery indices, and chronology summaries.

Client and Expert Coordination

  • Maintain ongoing communication with clients regarding case status and timelines.
  • Coordinate with experts, including document exchanges, scheduling, and deadline tracking.
  • Schedule interviews, hearings, and consultations with all involved parties.

Strategic Support

  • Assist attorneys in developing case themes through comprehensive fact organization.
  • Prepare timelines, factual summaries, and investigative chronologies to support legal arguments.
  • Perform legal and factual research to aid in case development.

What We’re Looking For

  • Education: ABA Certified Paralegal
  • Experience: 5+ years of paralegal experience, with at least 3 years in criminal defense.
  • Skills:
    • Strong organizational skills and attention to detail;
    • Excellent written and verbal communication skills;
    • Ability to prioritize assignments in a dynamic environment and adapt to shifting demands;
    • Ability to work independently and collaboratively.
    • Proficiency in Adobe Acrobat and legal practice management tools;
    • Proficiency in Microsoft Office 365 suite; and

Ideal Candidate

  • Paralegal Certification or equivalent experience
  • Notary Public
